DESIGNING Successful Events

From Chaos to Clarity - Designing academic events strategically – even without being an event professional.

Many events in the academic world are created under difficult conditions.

A conference needs to be organized.
Or a summer school.
A symposium, networking event, or project conference.

And suddenly, people find themselves in planning meetings even though event organization is not actually part of their core role.

Project managers, research managers, PhD candidates, or postdocs take on event planning responsibilities in addition to their regular work – often without a clear methodology, but with many expectations from funding bodies, committees, supervisors, and colleagues.

After a short time, the same challenges usually appear:

  •  Goals are not clearly defined
  •  Stakeholders have different expectations
  •  Decisions take weeks
  •  Coordination loops never seem to end
  •  And despite many discussions, there is still no clear concept

This is exactly why the Event Design Sprint was developed.

A structured method that helps non-event professionals create a solid and convincing event concept within a short time – scientifically grounded, practical, and directly applicable.

So that endless discussions become clear decisions.

You will learn to:

  •  define goals and desired impact clearly
  •  think strategically about events instead of focusing only on logistics
  •  moderate discussions more productively and speed up decision-making
  •  bring together different perspectives in a constructive way
  •  develop event concepts that are easier to align internally

Instead of weeks of unclear discussions, your team creates a shared and well-founded concept with a clear direction.

Your Benefits

This training does not simply give you event planning tips.

You will learn a method that helps you intentionally design events – instead of struggling with conflicting expectations and spontaneous opinions from different stakeholders.

You will gain:

  •  clarity about the goals and impact of your event
  •  a structured decision-making process
  •  guidance for choosing formats and event dramaturgy
  •  more efficient collaboration within the team
  •  a reliable basis for internal alignment and approvals

The result:

Less chaos. Less uncertainty. More focus and better decisions.

Who(m) is this for?

For people in higher education and research environments who need to organize events without having a background in event management.

For example:

  •  research managers, PhD candidates, and postdocs
  •  project leads in externally funded projects
  •  coordinators of graduate schools or research programs
  •  staff working in transfer or strategy projects
  •  people who organize events “on the side” in addition to their main responsibilities

This method is especially useful whenever many stakeholders are involved and decisions need internal approval.

Method & Format

The Event Design Sprint is a moderated and structured design process.

During the workshop, you will develop a solid event concept step by step – together with your team or other participants.

This method helps you to:

  •  structure complex discussions
  •  integrate different perspectives productively
  •  make priorities visible
  •  accelerate decision-making
  •  stay focused on what really matters

Instead of discussing hundreds of possibilities at the same time, you will learn how to identify the solutions that truly fit the goals and intended impact of your event.

Format

  •  Digital workshop via Zoom & Mural
  •  Interactive and practice-oriented
  •  Group work and peer exchange
  •  Work on real event projects
  • Including templates and an accompanying e-book.

Content & Practice

In this training, you will learn how successful academic events can be developed systematically.

Topics include:

  •  strategic goal definition
  •  target group analysis and participant perspective
  •  choosing suitable formats and dramaturgy
  •  prioritizing relevant event components
  •  developing a coherent event design

After the Training

After the Event Design Sprint, you will:

  •  have a clear roadmap for future event projects
  •  develop event concepts in a more structured and efficient way
  •  reduce coordination loops and uncertainty
  •  make decisions faster and with greater confidence
  •  feel more secure in internal communication and alignment processes

And most importantly: You will know how to strategically design academic events – instead of simply reacting to the planning process.
